25 things to hand to AI this week

Chase the invoice. Answer the reviews. Write the SOP that only lives in your head. Each task comes with a prompt you can copy and paste, so the first draft is done before your coffee is.

Three straight from the list

Not summaries. These are the actual prompts, exactly as they appear in the PDF.

Chase an overdue invoice

An invoice is 15+ days late and the reminder feels awkward to write.

Invoice [NUMBER] for [AMOUNT] to [CLIENT] was due [DATE]. Write three reminder emails I can send a week apart: a light nudge, a clear second notice, and a firm final one that mentions pausing work. Keep each under 90 words. Polite, never passive-aggressive.

Reply to your Google reviews

Reviews are sitting there unanswered, including one that stings.

Here are my latest reviews: [PASTE]. Write a reply to each. Thank the good ones specifically, not generically. For any negative one, acknowledge it, don't argue, and offer to fix it offline with [CONTACT]. Two to three sentences each.

Write the SOP that only lives in your head

Only you know how a task gets done, and that's why it lands on you.

Here's me explaining how I do [TASK], out loud and messy: [PASTE TRANSCRIPT OR NOTES]. Turn it into a step-by-step procedure someone new could follow. Number the steps, note where people usually mess up, and list what tools or logins they need.

Five parts, five tasks each

Nobody runs all 25. Pick the one that made you wince.

  1. Part 1 Clients and inbox Status updates, scope creep, the running-late email
  2. Part 2 Money Overdue invoices, expenses, three-tier pricing
  3. Part 3 Sales Prospect research, referrals, waking up old leads
  4. Part 4 Marketing Reviews, post ideas, voice memo to blog post
  5. Part 5 Running the place SOPs, hiring, onboarding, next week's plan

Made for people who run the thing

Owners of agencies, studios, shops and service businesses who keep hearing they should use AI and would rather just get one thing off their plate by Friday.

Get the list
What do I get?

An 8-page PDF: 25 tasks in five groups, each with when to use it, roughly how much time it gives back, and a prompt you can paste into ChatGPT, Claude or Gemini. Plus The Handoff, one email a week.

What is The Handoff?

Our weekly email. One AI tip you can use this week, and one real story of it working at a small business. Short enough to read over coffee. Unsubscribe from any issue, one click.

Do I need to be technical?

No. If you can copy and paste, you can use every task on the list. Anything in [BRACKETS] is where your details go.

Where do the time estimates come from?

They are our rough estimates for doing each task by hand versus with a prompt, not measured results. Some will take you less, some more. The point is to pick one and see.
