Two things fall out of that table. The first is that the free tier is genuinely enough for longer than anyone selling you software will admit: Cal.com books calls, Kit holds ten thousand subscribers, and Stripe takes money, all at zero fixed cost. Most coaches buy their stack about six months earlier than they need it.
The second is that the gap between the sensible stack and the tool-stacked one is roughly $3,000 a year, which for most coaches is one to three clients of pure margin. That is the real cost of not deciding.
Prices move, and they moved a lot this year. Kajabi went from $149 to $179 in January, its first serious change in close to a decade. HoneyBook is nowhere near the $19 it is still quoted at across most of the internet. Kit roughly doubled its entry pricing in September 2025 and changed its name in 2024, so half the guides you will find are pricing a product under a name it no longer uses. If a list does not say when it was last checked, assume it is wrong.
What to Avoid
Two mistakes coaches make with tech.
1. Buying Kajabi before you have clients. Kajabi is incredible, but at $179/month it only makes sense when course revenue justifies it, and that floor moved in January 2026 when the price went up. If you're still building your client base with 1:1 coaching, start with GHL ($97/month) or Dubsado ($35/month, or $335 a year) for CRM and use Teachable ($39/month) if you need a course platform. Upgrade to Kajabi when your digital product revenue consistently exceeds $2K/month.
2. Tool-stacking instead of simplifying. Coaches are the worst about this, Calendly + Kit + Dubsado + Stripe + Teachable + Buffer + Notion. That's 7 logins, 7 billing statements, and 7 things that might break. GoHighLevel replaces 4–5 of those tools at $97/month. Before adding any new tool, ask: "Does my current stack already do this?"
What's the best CRM for coaches?

For coaches, set up different booking types: discovery calls (30 min), coaching sessions (60 min), and strategy sessions (90 min), each with its own link and pricing.
Is Kajabi worth $179/month for coaches?
Kajabi ($179/month on Basic, up from $149 before its January 2026 repricing) is worth it if courses and digital products are a significant revenue stream. It's an all-in-one: course hosting, email marketing, landing pages, payments, and community, all under one roof. If you're just starting out or courses are secondary to 1:1 coaching, Teachable ($39/month) is a better starting point. You can always upgrade to Kajabi when your course revenue justifies the cost.
What's the best email marketing tool for coaches?
Kit, which is what ConvertKit renamed itself to in 2024, is still the top choice for coaches and creators. Free up to 10,000 subscribers, then $39/month on Creator at 1,000 subscribers. Clean interface, easy automations, landing pages, and excellent deliverability. If you need more advanced automation (complex sequences, lead scoring, conditional logic), ActiveCampaign ($15/month on Starter) is more powerful but has a steeper learning curve. If you're using GoHighLevel, its built-in email is good enough to start, no need for a separate tool.
